Cancellation & Refund Policy

This Cancellation & Refund Policy explains how you can cancel your subscription to the DeskEstate property management platform (the "Service"), operated by Solution Derivators, the company that owns the DeskEstate product ("DeskEstate", "we", "us", or "our"), and the circumstances under which refunds are issued. This policy forms part of, and should be read together with, our Terms of Service.
1. Nature of the Service
DeskEstate is a subscription-based software (SaaS) product delivered online. It is a digital service, not a physical good. As a result, there is no shipment, return, or exchange of goods. References to "returns" in payment-provider requirements are satisfied by the cancellation and refund process described below.
2. Free trial
Where a free trial is offered, you may use the Service during the trial period at no cost and without obligation. You will not be charged unless you choose to start a paid subscription. If you do not subscribe before the trial ends, your access is simply paused — no payment is taken, so no refund is required.
3. Cancelling your subscription
- You may cancel your subscription at any time from your account billing settings, or by emailing us at hello@deskestate.com.
- When you cancel, your subscription remains active until the end of the billing cycle you have already paid for. You keep full access until that date.
- After the current cycle ends, the subscription will not renew and no further charges will be made.
- Cancelling stops future billing; it does not, by itself, trigger a refund for the current or past billing periods.
4. Refunds
Subscription fees are billed in advance and are generally non-refundable, including for partial billing periods, unused time, or features you did not use. However, we will review refund requests fairly and may issue a refund in circumstances such as:
- You were charged in error or charged more than once for the same billing period.
- You were billed after cancelling and before the renewal date, due to a processing error on our side.
- A confirmed, prolonged service failure prevented you from using the Service for a significant part of a billing period.
- Any case where a refund is required by applicable law.
Refund requests should be made within 14 days of the charge in question. Requests outside this window are considered at our discretion.
5. How to request a refund
To request a refund, email hello@deskestate.com from the email address associated with your account and include your organisation name, the date and amount of the charge, and a short description of the reason. We aim to respond to refund requests within 5 business days.
6. How refunds are issued
Approved refunds are returned to the original payment method used for the purchase. Once we process a refund, it typically takes 7–14 business days to appear on your statement, depending on your bank or payment provider. We do not control and are not responsible for delays caused by banks or payment providers.
7. Plan changes and downgrades
If you upgrade your plan mid-cycle, the change takes effect immediately and any price difference may be charged on a pro-rata basis. If you downgrade, the new, lower price applies from your next billing cycle; downgrades do not generate a refund for the current cycle.
8. Your data after cancellation
After cancellation, you may request an export of your data within a reasonable period, as described in our Terms of Service and Privacy Policy. After that period, your data may be permanently deleted.
9. Changes to this policy
We may update this Cancellation & Refund Policy from time to time. When we do, we will revise the "Last updated" date above. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
